The Role Purpose:

At BSA, we believe that great leaders need great support. The Executive Assistant exists to multiply the effectiveness of BSA’s most senior leaders — protecting their time, extending their reach, and ensuring they are always prepared, informed, and operating at their highest level.

We are looking for a polished, autonomous professional who thrives on complexity. You will manage multi-stakeholder diary, handle highly confidential correspondence with absolute discretion, and coordinate governance logistics to an audit-ready standard.

Key Responsibilities

1. Client Service & Multi-Channel Support
  • Handle executive-level client interactions across voice, email, and chat with professional discipline.
  • Prioritize tasks against SLA commitments, flagging risks before they breach.
  • Log every interaction accurately, ensuring continuity for the team.
2. Issue Resolution & Escalation Management
  • Attempt resolution at first contact using sound judgment; exhaust reasonable options before escalating.
  • Manage difficult interactions with composure and professional de-escalation techniques.
  • Execute escalation handoffs with precision (complete summaries, no need for callbacks).
3. Office Management & Administration
  • Maintain the office environment (supplies, room bookings) so the rest of the organization runs without friction.
  • Coordinate meeting logistics end-to-end (AV setup, materials) with project manager precision.
  • Track facilities issues and maintain common areas to reflect BSA’s professional brand.
4. Executive & Leadership Support
  • Manage complex leadership diary with strategic judgment — protecting focus time, resolving scheduling conflicts before they reach the leader.
  • Draft executive correspondence that reflects the leader’s voice and intent without requiring line-by-line review.
  • Coordinate governance meetings, board packs, and committee logistics with legal rigour.
  • Prepare pre-read materials and track post-meeting actions to closure.
  • Manage confidential information with professional discretion — never sharing sensitive content outside authorised channels.
5. Professional Representation & Communication
  • Produce first-draft written communications (emails, briefing notes, formal letters) that are clear and complete.
  • Manage visitor experience (registering, passes, host notifications) with warmth and efficiency.
  • Adapt communication style appropriately — from internal peers to senior clients — without prompting.
  • Represent BSA in every in-person interaction, knowing that the first impression a visitor forms of the organisation is shaped by this role.
