<strong>Document Control Support Specialist<br><br></strong>Downers Grove, IL (On-site)<br><br>Benefits: Standard Medical, Dental, 401(k)<br><br>Pay Rate Range: $23.00 - $28.00<br><br>Summary: We are looking for a talented and self-motivated Document Control Support Specialist II to join our Downers Grove, IL office. You will be responsible for document control activities, including handling the flow of documentation to and from our clients.<br><br><strong>Responsibilities<br><br></strong><ul><li>Document Management: Handle the creation, review, approval, revision, and secure archival of documents. This includes document naming, classification, metadata, revision and version control. Issuance of document transmittals and official records.</li><li>Maintains project record keeping system; ensure that all records management/document practices are performance in accordance with requirements.</li><li>Assists with monitoring, tracking, and reporting on the status of project documents and deliverables to ensure time, cost and quality metrics are in line with the approved project plans.</li><li>Establish, maintain, and enforce document control procedures for engineering and project documents. This includes managing naming conventions, revision control, file types etc.</li><li>Receive, review, log, and distribute incoming and outgoing documentation, including drawings, specifications, RFIs, submittals, transmittals, procedures, reports, and correspondence.</li><li>Ensure documents adhere to company formatting, revision, and quality standards.</li><li>Communicate with clients, vendors, and engineering teams regarding document requirements and submission schedules.</li><li>Work in multiple EDMS.</li><li>Have a working knowledge of email and be able to manage basic documents using Microsoft Office Suite.</li><li>Operate copy machines and general office equipment.</li><li>Assist with the preparation of client meetings, reserving conference rooms, coordinating refreshments, collecting, and compiling documents, drafting correspondence, etc</li><li>Provide routine administrative services to engineering professionals working on a project team, including maintaining electronic documents from clients and suppliers.</li><li>Other duties as assigned.<br><br></li></ul><strong>Qualifications<br><br></strong><ul><li>High School Diploma / GED.</li><li>Must have 1-3 years of project support, document control or similar experience.</li><li>Must be detail orientated and be able to recognize priority of deliverables for processing.</li><li>Strong technical skills needed in the following: Adobe Acrobat, Microsoft Office Suite (SharePoint, Word, etc.) with intermediate to medium skills in Excel and word.</li><li>Must possess excellent communication and written skills.</li><li>Must have effective planning and organizational skills with the ability to work with a high degree of accuracy.</li><li>Must have problem solving skills, to strive to understand contributing factors, work to resolve complex situations with appropriate management.</li><li>Must be a self-starter and dependable.
