The Oregon Department of Justice (DOJ) – Crime Victims and Survivor Services Division (CVSSD) is seeking a customer service focus individual to join our team as an Admin/Compensation Assistant (Office Specialist 2) in the Compensation Section.
The Compensation Section administers the Crime Victims’ Compensation (CVC) program and processes over 7,000 new claims each year. The mission of CVC is to ease the financial impact of violent crime on victims, survivors, and their families. CVSSD pays over $8 million each biennium for expenses associated with victimization including lost wages, counseling, funerals, medical bills, sexual assault forensic medical exams and child abuse medical assessments.
In this role, you will provide a wide variety of reception and clerical support functions to the Compensation Section of the Crime Victim and Survivor Services Division to support the work of the division.
DUTIES AND RESPONSIBILITIES (in part)

Crime Victim Compensation (CVC) Work
Check E-Courts for all CVC applications that are received, and if there is a case found update the information into the Claims Management System (CMS).
Follow up on pre-determined claims to ensure law enforcement and medical assessment reports have been received and if they are missing send another request.
Follow up on bills that have been received to ensure any information that was requested (explanation of benefits and chart notes) has been received and if information is still missing, send another request.
Enter Sexual Assault Victims’ Emergency (SAVE) applications.
Respond to phone calls inquiring about the CVC program. Provide support to Compensation Section by updating data in CMS as needed.
Support public in using the CVC portal: troubleshooting application and document submission, assisting with claims through the portal, granting and denying access according to written policy. This directly impacts CVC claimants, advocates and providers and the CVC Section colleagues.
Administrative support to the CVSSD Director and management team, including: scheduling, coordinating special travel arrangements as requested, reimbursement processing for external partners at training events, and charitable drive support for the division.
Support CVSSD external partner meetings with scheduling, communications, and minutes.
Provides backup for receptionist to process and save mail to Alfresco.
Provide back up to CVC Application entry.
Other duties as assigned.

In order to be considered for this position, you must meet ALL the following minimum qualifications:
Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR
An associate degree in any field; OR
An equivalent combination of education and experience.

Evidence of self-motivation, attention to detail, ability to prioritize a complex workflow, and the ability to manage competing deadlines without prompts.
Ability to maintain confidentiality.
Proficient in professional written and verbal communication skills at all levels of agency and public.
Experience with minute taking.
Proficient in computer use, including databases and Microsoft Suite.
Knowledge of basic victimization reactions.
English/Spanish bilingual is a plus!
